Outreach fails at the list stage more than the email stage. Scraping 2,000 random blogs guarantees spam-level results. Instead, build prospect lists from competitor backlinks, niche listicles, and genuine Google searches — then vet ruthlessly before writing a single email.

Then find a genuine reason to contact them specifically: they wrote on an adjacent topic, their article has a broken link or outdated statistic, they included a competitor in a roundup, they answered a question your content answers better.
The reason is the personalization. "I loved your blog" is not personalization. "Your home-gym guide references 2023 equipment prices — we just published a 2026 pricing index that would keep it current" is.
Step 3: The Email Itself
Rules that consistently lift our reply rates: subject lines under six words, lowercase and casual ("quick note about your gym guide" beats "COLLABORATION OPPORTUNITY"). Four sentences maximum. Who you are in half a sentence, the specific reason, the specific value, the specific ask. One link only — the asset you are pitching. No attachments, no images — deliverability suffers. And make the ask tiny: "worth a look?" outperforms a paragraph explaining what you want them to do.
Step 4: Follow Up — Twice, Politely
Roughly half of all positive replies come from follow-ups. We send one nudge at day 3–4 and a final "closing the loop" at day 8–10, then stop. Both are two sentences. Anything beyond two follow-ups burns goodwill and domain reputation.
Step 5: Deliver, Then Nurture
When someone says yes, deliver faster and better than promised. A blogger who had a good experience with you becomes a repeat link source, an introducer, and sometimes a customer.
